Events Cancellation Policy & Filming Notice

If you wish to cancel your place at an Orthopaedic Research UK event you must do so by telephoning 020 7637 5789 or emailing: events@oruk.org. Please note that you must receive an email from Orthopaedic Research UK confirming that your place has been cancelled.

Delegate cancellation fees, terms and conditions

On-demand courses:

All on-demand course sales are final, and no refunds will be provided for failure to watch the material within the specified timeframe.

Live events:

Cancellations made within 24 hours of registration will receive a full refund, except when the booking has been made from a county outside of the UK. Bookings made from countries outside of the UK will incur a £25 administration fee.
Written cancellations received 6 weeks prior to the event will incur a £25 administration fee.
Written cancellations received between 3 – 6 weeks prior to the event will incur 25% of the registration fee.
No refunds will be made less than 3 weeks before the event start date.

In some cases we may accept the fee paid as payment towards a place on the same or another course that takes place within 12 months following the originally booked event. This is at the discretion of Orthopaedic Research UK and will be viewed on an individual basis. Bookings can only be transferred once. Substitutions can be made at any time. Whilst we are doing everything that we can to ensure our events go ahead as planned, due to the current climate we would strongly advise delegates who are travelling to our events to book accommodation with free cancellations and/or trains with flexible tickets, in case the event is cancelled or postponed.

Orthopaedic Research UK reserves the right to cancel any event. We aim to give as much prior notice as possible. The full registration fee will be refunded unless a mutually convenient transfer within a 12 month period can be arranged. In the event that Orthopaedic Research UK postpones an event for any reason and the delegate is unable to attend on the rescheduled date, you will receive a full refund of the fee paid.

Orthopaedic Research UK shall assume no liability in the event a conference is cancelled, rescheduled or postponed due to an unintended event, Act of God, unforeseen occurrence or any other event that renders performance of this conference impracticable, illegal or impossible. For purposes of this clause, a fortuitous event shall include, but not be limited to: war, fire, labour strike, extreme weather or other emergency.

Please note that while speakers and topics were confirmed at the time of publishing, circumstances beyond the control of the organisers may necessitate substitutions, alterations or cancellations of the speakers and/or topics. As such, Orthopaedic Research UK reserves the right to alter or modify the advertise speakers and/or topics if necessary without any liability to you whatsoever. Any substitutions or alterations will be updated on our web page as soon as possible.

Access to event material:

If you purchase an on-demand course or attend one of our recorded events, you will be given access to the event material for a specified number of weeks. It is your responsibility to watch the material within the allotted time. Orthopaedic Research UK cannot extend access to the event material beyond the specified timeframe, and we will not be held liable for any missed opportunities or unwatched content.

Exhibition/sponsorship cancellation policy

Cancellations made within 24 hours of an exhibition booking will receive a full refund
Cancellations received 12 weeks prior to the event will incur a 50% administration fee
Cancellations received 3 – 12 weeks prior to the event will incur a 75% administration fee
Cancellations received less than 3 weeks prior to the event will incur a 100% administration fee

Alternatively, you will be provided with the opportunity to transfer 100% of your booking fee towards another one of our events taking place within 12 months of your cancellation date. Please note, we can only offer this opportunity for cancellations received at least 3 weeks prior to the event you had originally booked onto.

Filming & photography notice

Please be advised that when you attend an event/course, you are entering an area where photography, audio and video recording may occur for education, marketing and promotional purposes by Orthopaedic Research UK and affiliate organisations – both in print and online (i.e., social media). By attending an event/course, you hereby acknowledge and agree to such recordings being made.

It is important that you let us know prior to the event/course commencing if you have an issues or concerns regarding this, so that we can take appropriate steps to ensure you are not included.
